Buyer side
Buyer-Side Transaction Coordination
The buyer file moves fast and depends on other people. Coordination makes sure the deadlines, documents, and follow-up stay ahead of it.
Buyer-side files carry the most moving parts of any transaction: earnest money, inspections, repair requests, appraisal, loan approval, contingency removals, and a closing disclosure that has to be reviewed before signing. Most of those items belong to someone else — the lender, the inspector, the appraiser — which means the agent's job is follow-up, and follow-up is exactly what gets displaced when a new client calls.
Wasatch & Coast runs the administrative side of buyer files in Utah and California so dates are tracked, documents are collected, and the lender and escrow are being chased before a deadline is at risk.
What coordination handles on a buyer file
The buyer-side checklist is built at setup and tracked from acceptance through closing.
- Earnest money deposit and receipt confirmation
- Inspection scheduling, report distribution, and repair-request tracking
- Appraisal ordering and report tracking
- Loan contingency and financing deadline tracking
- Contingency removal documentation
- Title commitment and HOA document follow-up
- Closing disclosure delivery tracking
- Final walk-through scheduling
- Closing timeline coordination with escrow or title
- Completed buyer file and compliance package
Where buyer files usually slip
Not on the contract itself — on the third-party items. The appraisal is ordered late, the repair response sits in an inbox, the lender's updated pre-approval never reaches the file, or the closing disclosure arrives with two days left to review it. Coordination assigns each of those items to a party, puts a date on it, and follows up until the record shows it is done.
Buyer representation stays with you
Coordination is administrative. Advice to your buyer, negotiation strategy, and decisions about contingencies stay with you. What changes is how much of your day goes to requesting, confirming, and documenting the things other people owe the file.
Scope
Wasatch & Coast provides administrative coordination. We do not provide legal advice, make legal determinations, or independently determine which forms or disclosures are required. Representation decisions, advice to clients, and verification of every deadline remain with the agent and broker.
