California Transaction Coordination with Escrow and C.A.R. Workflows
Administrative coordination for California files — disclosure workflow, contingency dates, and escrow communication, tracked from acceptance to closing.
California transactions move through escrow, and the administrative load sits with the agent: disclosure packages, contingency removals, signature collection, inspection and appraisal coordination, and a paper trail that a broker can review years later. Coordination keeps that sequence in order so the file is never reconstructed from memory.
Wasatch & Coast supports California agents, brokers, and teams with administrative coordination. We organize and track the workflow you direct. We do not provide legal advice, make legal determinations, or independently decide which forms or disclosures are legally required — that responsibility stays with you and your broker.

C.A.R. form and disclosure workflow organization
Once you identify the forms and disclosures applicable to the transaction, coordination takes over the administrative side: sending them for signature, tracking delivery and receipt, following up on missing pages or initials, and filing the completed set in a defined order. We flag what appears missing from the file we are managing. We do not determine which forms are required, and nothing in the file is a legal opinion.
Contingency and escrow tracking
Contingency periods, contingency removals, appraisal deadlines, and closing dates are logged at setup and confirmed with you. Escrow coordination includes tracking the escrow instructions, earnest money confirmation, and the documents escrow needs from the parties, with a record of every request and response.
Signature and document completion tracking
California files generate a lot of signatures across a lot of documents. Every envelope is tracked: sent, viewed, signed, or outstanding. Outstanding items are followed up on a schedule and reported to you, so a missing initial surfaces in the same week it was requested rather than the day before signing.
Inspection and appraisal coordination
Scheduling access, confirming appointments, distributing reports, and tracking repair requests and responses are administrative functions we handle. The agent decides how to respond to the findings; coordination makes sure nothing waits on a calendar that was never confirmed.
Compliance file organization
At closing, the executed documents, disclosures, and receipts are organized into a complete brokerage compliance file. Files are structured to your brokerage's requirements so review is a scan rather than an excavation of an inbox.
Scope
Wasatch & Coast provides administrative coordination. We do not provide legal advice, make legal determinations, or independently determine which forms or disclosures are required. Representation decisions, advice to clients, and verification of every deadline remain with the agent and broker.
