Utah Transaction Coordination, Contract to Close

Administrative coordination built around the Utah REPC, its addenda, and the closing rhythm of Utah's title companies.

Utah transactions run on the REPC and the deadlines written into it. Due diligence, financing, appraisal, and settlement dates all begin at acceptance, and most of them arrive in a cluster rather than one at a time. Coordination exists to make sure those dates are written down, assigned, tracked, and followed up on before they arrive.

Wasatch & Coast supports Utah agents, teams, and brokerages as an administrative partner. We do not advise your clients or determine which forms apply — we build and run the file so your attention stays on representation and negotiation.

Where we take over

Every Utah file is set up against a written checklist so nothing depends on memory. These are the administrative functions coordination covers.

  • Transaction file setup and checklist
  • Contract date and deadline tracking
  • Utah REPC timeline organization
  • Due diligence deadline reminders
  • Financing and appraisal deadline tracking
  • Title company coordination
  • Communication with agents and authorized participants
  • Document collection and organization
  • Brokerage compliance file preparation
  • Closing timeline coordination
  • Final file organization and delivery

Organizing the REPC timeline

At setup, the dates stated in the REPC and its addenda are transferred into an administrative deadline calendar, with each item assigned to the party responsible for it — lender, title, inspector, appraiser, agent, or client. You confirm the calendar before anyone relies on it. From there, reminders go out ahead of each date and outstanding items are chased until they are documented in the file. Every deadline should be verified by a responsible human before it is relied on; the calendar is a working tool, not a substitute for your review.

Title, lender, and participant coordination

Utah closings depend on a title company, and often on HOA, water, or survey documentation that has to be ordered and collected early. We coordinate with the title officer, the lender's processor, the inspectors, and the cooperating agent, and we keep a record of what was requested, when, and by whom. You get a status update rather than a pile of forwarded email to reconstruct.

Compliance file preparation

Brokerage reviews depend on the file being complete and legible. Files are organized to your brokerage's checklist and naming conventions, with missing signatures and missing documents flagged before the review, not after it. At closing, the executed package and the compliance file are delivered in a structure your broker can audit quickly.

Remote coordination, statewide coverage

Coordination is document- and communication-based, so it works across Utah without an office in each market. Contracts and disclosures move through e-signature, the file lives in access-controlled storage, and follow-up happens by phone and email. When a transaction requires an in-person signing, the title company handles the appointment while we keep the file and the timeline current.

Scope

Wasatch & Coast provides administrative coordination. We do not provide legal advice, make legal determinations, or independently determine which forms or disclosures are required. Representation decisions, advice to clients, and verification of every deadline remain with the agent and broker.

Questions

Before you hand over the file.

Yes. Dates in the REPC and its addenda are logged into a deadline calendar at setup and confirmed with the agent. We track and remind; the agent verifies before relying on any date.

Yes. Title coordination is part of every Utah file — opening the order when the agent directs it, tracking the commitment, and following up on the items the title officer needs.
